Payment Policy
This Payment Policy explains acceptable payment methods, booking confirmation, cancellations and refunds.
1. BOOKINGS ARE ACCEPTED UNDER THE FOLLOWING CONDITIONS TERMS AND CONDITIONS - PLEASE REVIEW THOROUGHLY RESERVATIONS AND PAYMENTS
To secure your spot on a tour, you must submit a filled-out booking form along with a deposit of US $200 per individual. Upon receiving your deposit, we will provide you with a confirmation of your reservation along with information for paying the remaining balance. The reservation will not be confirmed and no agreement established until the deposit is paid. The remaining payment is required 8 weeks before the departure date. If you are reserving within 8 weeks of the tour's start date, full payment must be made at the time of reservation. If the payment is not received by the deadline, Mongol Horizon Travel will consider the reservation as cancelled and impose the cancellation fees outlined below. The Company assumes no liability for any funds sent through the mail. Payments may be processed through bank transfers, international money transfer services, or with VISA and MasterCard.
2. CANCELLATIONS
A service charge of US$100 per person will apply for cancellations made at least sixty days before the scheduled tour departure. If cancellations occur after this period, the deposit will not be refunded unless it is applied to another trip scheduled within one to two years. Should you decide to cancel your booking after full payment has been made, the following cancellation fees will apply: between 43 and 59 days prior to departure:........20% of the total tour cost between 29 and 42 days prior to departure:........25% of the total tour cost between 15 and 28 days prior to departure:........30% of the total tour cost 14 days or less before departure (or if you do not join the tour):.......50% of the total tour cost These dates refer to the date we receive written notification of your cancellation. We strongly recommend you protect yourself by purchasing travel insurance. We have very rarely had to cancel a tour but reserve the right to do so for any reason. If the tour is cancelled by us, all payments will be returned in full.
3. PRICES
The prices for scheduled tours are determined based on a minimum of four participants. In the event that there are insufficient participants, we can conduct these tours privately for an additional fee ranging from USD 100 to 300 per person, contingent upon the number of participants and the specific departures. A minimum of two participants is required for these private tours. The hotel fees included in the tours are calculated based on twin room accommodations. A single room supplement can be arranged upon request. Any additional charges and optional activities not specified in the tour itinerary will be your responsibility to cover.
4. PASSPORT AND VISAS
Clients are required to be fully informed about all pertinent passport and visa regulations and to allocate sufficient time for their acquisition.
Visas can be procured from the Mongolian embassy or consulate in your nation by presenting our tour confirmation letter following the receipt of your booking deposit.
In the absence of a Mongolian embassy or consulate in your country, one-month visas may be obtained upon arrival at the airport or railway station in Ulaanbaatar.
5. INSURANCE
At Mongol Horizon, we hold the belief that your safety and enjoyment are of utmost importance. Consequently, comprehensive travel insurance is vital whenever you travel internationally. 6. YOUR RESPONSIBILITIES
Your reservation is confirmed with the understanding that you acknowledge the inherent risks and dangers associated with the tours and accept responsibility for your own actions and safety.
During the tours, it is essential that you agree to follow the instructions of the tour guide, who is dedicated to ensuring the safety and well-being of the group. Any behavior that threatens this may lead to your removal from the tour without entitlement to a refund or any form of compensation.
Any special requests, as well as any medical issues or conditions, must be communicated to us at the time of booking. We cannot accept liability for any actions or incidents that could have been prevented with adequate disclosure of information. You are solely responsible for your personal belongings, as well as for ensuring that you possess all necessary passport and visa documentation for the duration of the tour.
7. OUR RESPONSIBILITIES
Mongol Horizon's obligations commence solely at the specified meeting location and time, which is when you meet the tour guide in Ulaanbaatar, the capital of Mongolia. We cannot accept liability for any costs or inconveniences incurred prior to that moment, or due to your failure to join the tour at the designated time. We are not accountable for any incidents involving terrorist attacks, political instability, warfare, earthquakes, landslides, or any cancellations or delays caused by airlines and train services.
8. ITINERARIES AND TOUR DETAILS
The itineraries are intended to serve as a guideline for what each group is expected to accomplish, rather than as a binding contract. Given the nature of the tour, a flexible attitude towards the outlined itinerary is necessary, and all participants must embrace this flexibility, recognizing that delays and changes, along with their consequences (such as inconvenience or disappointment), may occur. No refunds or compensations will be provided for any transportation, accommodation, services, or tour features that remain unused. All information is accurate as of the time of publication, and any major changes will be communicated to you at the time of booking.
9. COMPLAINTS
Any problems or complaints about the tour should be raised with the tour guide at the earliest opportunity and they will normally be rectified or appropriate action taken.
10. LEGAL TERM
All terms and conditions are governed by Mongolian law and must be enforced in a Mongolian court. Should you need additional action regarding a return, we will endeavor to reach a mutually acceptable settlement; however, you are required to inform us in writing within 21 days following the completion date of the tour. The company is registered in Mongolia with a company No 8408505 and Recognized by the Mongolian Ministry of Roads, Transport and Tourism.
